# Your Qualy subscription and billing

> The card we charge, your invoices, and the legal details behind them.

## Quick summary

Two screens under Settings → Billing cover everything about paying Qualy. Qualy subscription & invoices shows your active subscriptions, the card on file, and every invoice with a PDF download — you never need to ask us for a copy. Legal & billing information holds your legal name, business type, billing email and address, invoice language and tax IDs. Keep those exact — they appear on your invoices and feed your compliance profile.

## Overview

Everything about paying Qualy — as opposed to getting paid through Qualy — lives under **Settings → Billing**, split across two screens:

- **Qualy subscription & invoices** — your plan, the card we charge, and every invoice.
- **Legal & billing information** — the legal details and tax IDs those invoices carry.

Both are one-time setup with occasional maintenance: a new card when the old one expires, a download when your accountant asks for an invoice.

## Your subscription at a glance

When your account has billing stats to show, a **Stats** card sits at the top of **Qualy subscription & invoices** with your **Credit balance**, your **Upcoming invoice**, and how long you've been a customer. A credit balance offsets future invoices — the card notes whether it will increase or decrease the amount due next. No Stats card is nothing to worry about; it means there's nothing to report yet.

**Current subscriptions** lists your active plans with the price, billing interval and renewal date ("Your plan renews on…"). From here you can:

- **Cancel** — the plan stays available until the end of the paid period. The badge changes to **Will not renew** and the page shows the exact end date.
- **Renew** — undo a cancellation before the period ends.

One exception: subscriptions marked **Usage-based** can't be cancelled from this screen — message us from Support.

## The card on file

The **Payment method** card lists the debit or credit cards used to charge your subscription, each showing the brand, last four digits and expiry. Qualy requires a working card on file.

To swap cards: click **Add a credit card**, enter the new one, **Set as default**, then **Remove** the old one. Charges always go to the default card.

## Your invoices

The **Invoices** table holds every invoice and receipt of your payments to Qualy — filterable by status (**Draft**, **Open**, **Paid**, **Uncollectible**, **Void**) and due date, with the line items visible on each row. Use the row menu to **Download PDF**.

Nobody needs to email us for an invoice copy — the PDF download here is the same document, available any time.

Subscription fees and usage are billed separately, which is why two charges can land in the same month for different amounts. The fixed subscription renews on its cycle; usage — SMS payment reminders, for instance — is invoiced based on what you consumed. The line items in the Invoices table show which is which.

## Legal and billing information

The second screen, **Legal & billing information**, is where your invoice details live:

- **Legal name** and **Type of business** (Corporation, Individual or sole proprietorship, Nonprofit organization, Partnership)
- **Preferred language for invoices and receipts** — thirteen languages
- **Email used for billing, invoices and receipts** — one address per account; a shared inbox works well
- **Phone used for billing purposes**
- **Billing & invoice address**
- Incorporation date

Below the form, the **Tax ID** section takes one or more tax IDs — pick the ID type (Qualy suggests one based on your billing country) and enter the number. Use **Add another ID** if you operate under more than one.

These fields do more than fill in invoices. Your legal name, business type, address and tax IDs feed your compliance profile, and documents you upload are validated against them. Make them match your company registration and bank documents exactly — a trading name or stale tax ID here is a common reason a compliance check bounces.

## Frequently asked questions

### I can't find a Qualy invoice — can you resend it?

You don't need us to. Every invoice and receipt is in Settings → Billing → Qualy subscription & invoices, in the Invoices table. Use the row menu to download the PDF. If the PDF isn't ready yet, try again shortly.

### Why were there two Qualy charges in the same month?

Your subscription fee and your usage are billed separately. The subscription is a fixed recurring charge to the card on file. Usage-based items — SMS payment reminders, for example — are invoiced on top, so that amount moves with how much you used. The Invoices table shows the line items behind each charge.

### How do I update the credit card Qualy charges?

In Settings → Billing → Qualy subscription & invoices, under Payment method. Add the new card, set it as default, then remove the old one. Qualy requires a working card on file — if a charge keeps failing on a card you know is valid, message us from Support.

### Can I add a second email address to receive Qualy invoices?

Not yet — there's one billing email per account. You can change which address that is under Settings → Billing → Legal & billing information, in the field labelled "Email used for billing, invoices and receipts". A shared inbox like accounts@yourcompany.com works well.

### Can I change the language of my invoices?

Yes. Legal & billing information has a "Preferred language for invoices and receipts" setting with thirteen languages to choose from. It changes your Qualy invoices, not what your customers see.

### Does my legal name really matter here?

Yes — more than it looks. Your legal name, business type, address, incorporation date and tax IDs feed your compliance profile, and documents you submit (bank statements, invoices) are checked against them. A trading name where the legal name should be, or an outdated tax ID, is a common reason a compliance upload gets rejected.

### How do I cancel my subscription?

In Settings → Billing → Qualy subscription & invoices, next to the subscription under Current subscriptions. Cancelling keeps the plan available until the end of the period you've paid for — the page shows the exact date — and you can hit Renew to undo it before then. Usage-based subscriptions can't be cancelled from this screen; message us from Support instead.

### What is the credit balance shown in the Stats card?

Money on your Qualy account that offsets future invoices. The card tells you whether the balance will increase or decrease the amount due on your next invoice. If you don't see a Stats card at all, your account has no balance or upcoming invoice to report.
