# Payment settings and reminders

## Quick summary

In Settings → Payments settings, configure payment reminders (how and when customers are nudged before and after a due date), default payment management behaviour, and any payment markup you add. Reminders can also be sent in bulk from the Payouts area.

## Overview

Chasing payments by hand doesn't scale. **Settings → Payments settings** lets Qualy do the nudging for you—and sets your default payment behaviour.

## Reminders

Configure **payment reminders**: how and when customers are reminded **before** a due date and **after** it (for overdue payments). Once set, Qualy sends them automatically.

Reminders fire per **due date**, so in a payment plan each instalment is reminded on its own schedule. You can also send reminders in **bulk** from the Payouts area.

## Reminders in the customer's language

You don't send a separate reminder for each nationality—Qualy does it for you. Each customer has a **preferred language**, and reminders (and other notifications) are sent **in that language automatically**.

Customers can be set to any of these languages: **English, Portuguese, Spanish, Italian, French, German, Dutch, Danish, Polish, Korean and Japanese**. If a customer is set to a language a particular message hasn't been translated into yet, Qualy falls back to English rather than failing to send.

Set each customer's preferred language on their profile, and every reminder they receive will arrive in it—a small touch that makes a big difference for international students.

## Payment management

Set default behaviour for new payments—such as terms and retry behaviour—so everything follows your standard without per-payment setup.

## Markup

Add a **payment markup**—a margin or fee on payments, including for currency conversion—configured here.

## Who pays the card fees

By default, **you (the account holder) cover the payment processing fees**. If you'd rather not, you can choose to **pass card fees on to the student**: switch this on in your settings, and from then on the student pays those fees at checkout.

Use **templates** to append helpful text to reminder emails (like how to pay or who to contact), so each nudge does more than just say "you owe money."

## Frequently asked questions

### Where do I set up payment reminders?

In Settings → Payments settings. You control how and when customers are reminded—before a due date and after, for overdue payments.

### Are reminders automatic?

Yes. Once configured, Qualy sends reminders automatically based on each payment's due date. You can also send reminders in bulk from the Payouts area.

### What is a payment markup?

An amount you add to payments—such as a processing margin or an FX markup. It's configured in payment settings.

### Who pays the card fees—me or the student?

By default, you (the account holder) cover the payment processing fees. You can choose to pass card fees on to the student—switch this on in your settings, and from then on the student pays those fees at checkout.

### Can I add text to reminder emails?
