# How the customer pays (checkout)

> The payer's journey, from details to receipt.

## At a glance

- **Intended for:** Everyone
- **Available in:** All plans
- **Reading time:** 5 minutes
- **Last updated:** 31st May 2026

## Quick summary

At checkout the customer confirms their details, reviews the order (items and amounts), and chooses a payment method. Methods include cards, PayID, PayTo, direct debit, bank transfer, PIX, Boleto, Wero/iDEAL and buy now, pay later. Some confirm instantly; others (bank transfer, direct debit, Boleto) take longer. After paying, they get a receipt.

## Overview

This is the journey your **customer** takes to pay. Knowing it helps you support customers and choose which methods to enable.

## The checkout steps

### 1. Your details

The customer confirms their **name, email and phone**. New customers can be created here, and any custom fields you require are collected.

### 2. Review order

The customer sees the **itemised order**—each item, its amount, subtotal, taxes and total. Some items can have a **flexible amount** the customer sets.

### 3. Payment

The customer chooses a **payment method** and completes it.

## The methods on offer

Which appear depends on your account and region:

- **Credit/Debit card** — Visa, Mastercard, Amex
- **PayID** and **BSB & account number** transfer (Australia)
- **PayTo** and **direct debit** (Australia)
- **Bank transfer** — bank details plus a unique reference; upload proof
- **PIX** and **Boleto Bancário** (Brazil)
- **Wero / iDEAL** (Europe)
- **Buy now, pay later** — spread the cost while you get paid up front

**Confirm instantly**: cards, PayID, PIX, Wero/iDEAL, PayTo. **Slower to confirm**: bank transfer, direct debit, Boleto—these clear over a few days, and the payment is marked paid once the money arrives.

## What each method asks for

- **Card** — name, number, expiry, CVV; option to save the card for next time
- **PayTo / direct debit** — approve the agreement in their online bank
- **Bank transfer** — transfer to the shown bank details with the unique reference, then upload proof
- **PIX** — scan the QR code or copy the code into their banking app
- **Boleto Bancário** — print the slip or pay using the barcode at a bank, post office or online
- **Buy now, pay later** — complete the short approval with the provider; you receive the money up front

**"BSB and account not found" is nothing to worry about.** When paying by BSB/account or setting up a direct debit, a customer may see a message saying the account wasn't found. That's just the **bank** saying it hasn't seen the account before—it isn't a Qualy error and the details aren't necessarily wrong. The customer can **scroll down and proceed** as normal. The message is controlled by the bank, so it can't be changed from Qualy's side.

## After paying

The customer sees a **confirmation** and gets a **receipt** to download. For **deferred** methods, the payment confirms once the funds arrive.

Enable the methods your customers actually use in their country. Fewer, relevant options make checkout faster and reduce drop-off.

## Frequently asked questions

### What are the steps at checkout?

The customer enters their details, reviews the order (items and amounts), and then chooses a payment method to complete. Some line items can have a flexible amount the customer sets.

### Which payment methods can a customer use?

Depending on your account and region: cards (Visa, Mastercard, Amex), PayID, BSB & account number transfer, PayTo, direct debit, bank transfer, PIX, Boleto Bancário, Wero/iDEAL, and buy now, pay later. The exact list is whatever you have switched on.

### Which methods confirm instantly?

Cards, PayID, PIX, Wero/iDEAL and PayTo are effectively instant. Bank transfer, direct debit and Boleto take longer to confirm—the money lands once it clears.

### What does paying by card involve?

Entering the card name, number, expiry and CVV. The customer can often save the card for next time, and may be asked for billing details.

### What about bank transfer or PIX?

For bank transfer, Qualy shows the account details and a unique reference, and the customer can upload proof. For PIX, Qualy shows a QR code and a copyable code to pay in their banking app.

### Can the customer choose how much to pay?

For flexible items, yes—they can enter an amount. Otherwise the total is set by the payment you created.

### What happens after payment?

The customer sees confirmation and gets a receipt they can download. For deferred methods, the payment confirms once the funds arrive.

### Can the customer pay in their own currency?

Where you've enabled it, yes—Qualy can collect in the customer's currency and settle to you in yours, applying the exchange rate.

### Are there extra fees for the customer at checkout?

Usually not—by default you (the account holder) cover the payment processing fees, so the customer pays the amount shown. You can choose to pass card fees on to the student in your settings; if you do, those fees are added at checkout and the student sees them before paying.

### The customer sees 'BSB and account not found'—is something broken?

No, and they should carry on. That message comes from the bank's own system simply saying it hasn't seen this account before—it's not a Qualy error and it doesn't mean the details are wrong. The customer can scroll down and continue with the payment as normal. The wording is controlled by the bank, not by Qualy, so we can't change it.
