Setting up PayTo Direct Debit

Once you have your student’s payment information in the system, you can encourage them to use PayTo direct debit.

How to set up PayTo Direct Debit

  1. Access the Student Portal: Navigate to the student portal. (See other videos for instructions on accessing the student portal.)

  2. Check for Direct Debit Option: If the student doesn’t have a direct debit payment method set up, you can encourage them to add this option. If the direct debit option is disabled in your settings, you’ll need to enable it first.

  3. Student Setup: If the direct debit option is available, guide the student through setting up their PayTo direct debit within the portal. Qualy will assist them through the process.

  4. Authorization: Once the student sets up their PayTo details, they’ll need to authorize the payment agreement through their banking app or online banking. They’ll receive a notification from their bank.

  5. Confirmation: After the bank approves the agreement, you’ll see a PayTo icon next to the payment in the system, indicating that the payment is set up for direct debit.

Payment Processing with Direct Debit

Qualy will automatically debit the student’s account when the payment is due. You’ll send an email reminder to the student before the payment is processed.

If Qualy fails to collect the payment (e.g., due to insufficient funds), it will retry in 3 days and several more times before notifying you and the student to make a manual payment.

Manual Payments with Existing Direct Debit

Even if a student has a direct debit payment set up, they can still manually pay using other methods, such as PayID. Qualy will automatically recognize the manual payment and avoid processing it via direct debit, preventing duplicate payments. If the student manually pays a direct debit payment, the remaining payments will stay in the direct debit system.

Viewing Payment Status

You can easily view the payment status for each student in the student portal. The payment will show as completed once the payment has been received (whether via direct debit or manual payment). You can check to see what payments were collected via direct debit and what payments were made manually.

Frequently asked questions

  • If Qualy fails to collect the payment due to insufficient funds or other issues, Qualy will attempt to collect the payment again in 3 days. After several attempts, you'll be notified, and the student will be prompted to pay manually.

  • Yes, students can still pay manually using other methods (e.g., PayID) even if they have a PayTo direct debit agreement set up. Qualy will recognize the manual payment and prevent duplicate charges.

  • Within the student portal, you can highlight and explain the benefits of using direct debit, making it a convenient and seamless payment option for them.
