Understanding Qualy Payment Methods

This guide explains the various payment methods available in Qualy and how to manage them.

Selecting Payment Methods

You can choose which payment methods to make available to your students. You have complete control over this.

Payment Method Details

Here are some of the payment methods Qualy supports:

PayID Transfer

  • A real-time transfer method in Australia, typically using email or phone numbers.
  • Qualy generates a unique PayID email for each student.
  • Students use this email with their online bank to transfer funds.
  • It’s a very easy and straightforward method.

Pay to Direct Debit

This is a powerful feature allowing for automated payment collection from student accounts.

  • Qualy can collect both single and recurring payments.
  • When authorizing recurring payments, Qualy shows all future payments to the student for clear authorization.
  • An example: If you enable recurring payments, the system will display all future debits (e.g., EUR 1800) and the authorization expiry date (e.g., five months).

Credit Card Payments

  • Students can choose to pay via credit card.
  • Qualy will handle the secure credit card processing, ensuring safety and security.
  • In some cases, Qualy may request additional information (e.g., address).
  • Qualy notifies the student if there are any issues with their payment.
  • The student will see a statement descriptor indicating the payment source.

BSB and Account Number

  • Similar to PayID but may take slightly longer to process.
  • Qualy generates a unique BSB account number for each student.

Cash Payments & Other Methods

Qualy also supports other payment methods not directly integrated into the system.

  • You can allow students to pay via cash or other non-Qualy methods.
  • Students can upload a receipt as proof of payment.
  • You will need to manually process these payments in Qualy.
  • You can configure options such as only allowing this method for overdue payments or specific Partnerships.

Managing Payments

Qualy handles much of the complexity behind the scenes: communicating with the school or agent to automate payment processing. Additional details about this automated process are in a separate video.

Example: Credit Card Payment

Let’s say you want to process a test credit card payment. You’ll add test credit card details, and Qualy will secure the connection and process the payment. The process is shown exactly as the student will see it. The student will confirm the transaction upon completion.

Frequently asked questions.

  • Yes, you can select which payment methods you want to make available for students to use. You have full control over this in your Qualy settings.

  • If a student's payment fails, Qualy will notify both you and the student. Qualy will also guide the student through correcting any errors.

  • PayID facilitates real-time transfers. Qualy generates a unique PayID email for each student. The student uses this email address with their online banking to transfer funds directly to Qualy.

  • Qualy can automatically collect payments from a student's account via direct debit. You can authorize single payments or recurring (future) payments. Qualy will clearly show the student what payments they are authorizing before proceeding.

  • Qualy allows you to accept other payment methods, like cash. In this case, the student can upload a receipt and you will manually process the payment within the Qualy system.
