# Creating a service

> Set up what you sell — and get a page anyone can buy from.

## Quick summary

A service is anything you sell through Qualy — a course, a trip, a placement fee, an airport pickup. Creating one takes a name and three decisions: where customers can buy it (the public storefront, the customer portal, both, or neither), what it costs (a fixed price, an amount the customer chooses, or no price yet), and whether to cap how many can be sold. The price you set becomes the service's first payment plan, and a public service gets a page with its own link — the thing to reach for when someone asks for "a payment link we can put on our website".

## Overview

A service is anything you sell: a course, a weekend trip, an accommodation fee, an airport pickup. Once it exists in Qualy, everything else can hang off it — payment plans, a public page with its own link, a workflow your customers move through, capacity limits, a supplier.

Most people arrive here for one reason: they want a link customers can pay on. That link is a public service. ## Where services live

Services sit under **More** in the main menu — the entry is shown to administrators. The page lists every service with its steps, category, SKU and when it was last updated, and the tabs filter by status (**Available** / **Archived**), by where it's sold (**E-commerce**, **Portal**, **Internal only**) and by availability control.

You can also land in service creation from two other places: the Orders page offers it when you have no services yet, and the payment chooser's **'Share a new link'** creates one pre-configured as public — see [Payment links and templates](/training/payments/payment-links-and-templates.md).

## Creating a service

Hit **'Create new service'**. The form starts as a single name field with a set of AI-generated **Suggestions** based on your business — clicking one fills in the name. Type your own name and the rest of the form appears.

If you create a service straight from a suggestion, Qualy also drafts workflow steps for it with AI in the background. Review them on the service's page before publishing anything to customers.

### Distribution channels

Two independent toggles, both off by default:

- **'Public storefront'** — anyone can view and purchase without logging in. This is what makes a shareable payment link possible.
- **'Customer portal'** — logged-in customers see and can purchase the service in their portal.

Leave both off and the service is internal only: your team can attach it to orders and payment plans, but customers can't buy it directly. All of this can be changed later from the service's page.

### Price

Three options:

- **'Fixed price'** — the same amount every time. Pick the currency and enter the amount.
- **'Customer decides'** — they enter the amount when they pay. Pick the currency.
- **'No price yet'** — add one later, or use the service as a line on payment plans your team builds.

The price you set here becomes the service's first **payment plan** — you'll find it on the service's page afterwards, where you can edit it or add more. A fixed price is stored as a predetermined payment; 'Customer decides' as a flexible-amount one.

### Availability

Collapsed by default. Open it if seats or slots are limited:

- **'No availability control'** — unlimited, the default.
- **'Stop orders when full'** — set a **Maximum capacity** and the **Currently available seats/orders**. When nothing is left, the portal shows **'Sold out'** and purchases stop.

Hit **'Create service'** and you land on the service's own page, ready to manage.

One decision worth making now rather than later: if the service will be sold publicly, check the price before sharing any link. ## Frequently asked questions

### We just want a payment link for our website — is a service the right thing?

Yes. A payment link in Qualy is a public service: create the service, turn on 'Public storefront', give it a price, and it gets a page anyone can open and pay on — no login needed. You can copy the link, send it on WhatsApp, or embed a buy button on your website. The Payment links and templates guide covers the sharing side in detail.

### I can't see Services in the menu — where is it?

Services sits under More in the main menu, not in the top-level tabs. The menu entry is only shown to administrators — if you don't see it, ask an administrator on your account to create the service, or to check your permissions with us.

### What's the difference between Public storefront and Customer portal?

'Public storefront' means anyone can view and purchase without logging in — that's what makes a shareable payment link work. 'Customer portal' means customers who are logged in to their portal see the service there and can purchase it. They're independent: you can turn on either, both, or neither. With both off, the service is internal only — your team can still use it on orders and payment plans, but customers can't buy it themselves.

### Which price option should I pick?

'Fixed price' when the amount is always the same — the customer sees the price and pays it. 'Customer decides' when they enter the amount themselves — useful for deposits and top-ups. 'No price yet' when the service is a line on payment plans your team builds, rather than something bought directly. You can add proper payment plans later on the service's page, so this choice isn't final.

### Can the same person buy a service more than once?

Yes, by default — 'Repeat purchase' is on when a service is created. If a service should only ever be bought once per customer, untick 'Allow customers to purchase this service multiple times' in the service's Quick settings.

### How do I stop sales when we're full?

Open the Availability section — when creating the service, or later from Quick settings — and set it to 'Stop orders when full'. You give it a maximum capacity and the number currently available; when nothing is left, the portal shows 'Sold out' next to the service and new purchases stop. 'No availability control' means unlimited.

### What do the suggestions in the create window actually do?

They're AI-generated service ideas based on your business — clicking one fills in the name, nothing more. If you create the service directly from a suggestion, Qualy also drafts a set of workflow steps for it with AI in the background. Review those steps on the service's page before you rely on them — they're a starting point, not a finished process.
