On a regular schedule, Qualy reads your "Student course payment schedule" report and creates the matching students, payment plans, agent commission splits and payments in Qualy—so you're not re-entering them. It flows one way, RTO Manager → Qualy, and it's built for Australian RTOs (AUD, GST, USI, CoE). Because RTO Manager has no public API, Qualy signs in and reads the report the way a person would; that works well, but the connection depends on RTO Manager's own screens. ## Overview The RTO Manager integration brings your students, fee schedules, agent commissions and payments **out of RTO Manager and into Qualy**, so you run the money in Qualy without re-keying enrolments. It's a **one-way** sync, from **RTO Manager to Qualy**, built for **Australian RTOs**—it works in AUD and understands GST, USI and CoE. RTO Manager stays your **student system of record**. Qualy becomes where payment plans, commissions and payments are run. ## How it connects RTO Manager doesn't offer a public API, so Qualy connects the way a person would: you give it your **RTO Manager address** and a **login**, and it signs in and reads your payment schedule report on a schedule. Open **Settings → Add-ons & integrations** and choose **Connect** on RTO Manager. Enter your **RTO Manager address** and a **username and password**. Set the **date window**—how many days back and forward around today Qualy should read. Where you can, use a **dedicated login** for the integration. It keeps the connection stable and easy to manage separately from a staff member's account. ## What Qualy brings across On each run, Qualy reads your **student payment schedule** report and creates or updates: - **Students → customers** — name, email, phone, date of birth, USI and photo - **Fee schedules → payment plans** — the tuition instalments, ready to collect in Qualy - **Agent commission → splits** — including GST when the report says so (see below) - **Agents → partners** — with their address, tax details and bank account - **Account managers → owners** — so each student is assigned to the right person - **Payments** — amounts already paid in RTO Manager are recorded, and a plan that drops off the report is cancelled in Qualy ## On a schedule, not instant This integration runs **periodically**, not in real time. A student enrolled a moment ago appears in Qualy on the **next run**, not the same second. That's normal—Qualy reads the report on a cycle and brings across anything new or changed. ## How records match Qualy matches on RTO Manager's own identifiers—the **student number** to the customer and the **invoice number** to the payment plan—so repeated runs **update the same records** rather than creating duplicates. Agents match on their name and code. ## GST on commission Commission follows what RTO Manager records. A rate written as **"25% + GST"** adds GST to the split; **"25% + No GST"** doesn't. Qualy reads whatever the report says, so your commissions carry GST exactly as they do in RTO Manager. ## Things to know ### Duplicate student emails RTO Manager can carry the same email on more than one student. Rather than merge two people, Qualy gives the duplicate a **unique variant address** and tags the contact **"Duplicate"** with an explanatory note. Tidy the emails in RTO Manager when you can. ### Paid or cancelled plans are left alone A payment plan that's already **fully paid or cancelled** in Qualy isn't changed by a later run—so reconciled work stays put. ### It depends on RTO Manager's screens Because Qualy reads the RTO Manager report rather than a formal API, the connection depends on RTO Manager's own pages. If RTO Manager changes them, syncing can pause until we update the integration—we monitor for this. RTO Manager also limits how many logins can be active at once; Qualy manages and reuses its session so it doesn't lock you out. Use RTO Manager to bring your data **in**; make ongoing payment and commission changes **in Qualy**. Because the sync is one-way, edits in Qualy don't write back to RTO Manager. ## Frequently asked questions ### Is the sync real-time? No—it runs on a regular schedule, not instantly. Qualy reads your RTO Manager payment schedule report periodically and brings across anything new or changed. A student enrolled a moment ago appears in Qualy on the next run, not the same second. ### What does Qualy bring across? From your payment schedule report: each student becomes a customer (with name, email, phone, date of birth, USI and photo); their fee schedule becomes a payment plan; the agent's commission becomes a split; and their account manager becomes the owner in Qualy. Payments already recorded in RTO Manager are brought across too, and a plan that disappears from the report is cancelled in Qualy. ### Which way does it sync? One way—RTO Manager → Qualy. RTO Manager stays your student system of record; Qualy becomes where the payments, plans and commissions are run. Changes you make in Qualy don't write back to RTO Manager. ### How are students and invoices matched? By their RTO Manager identifiers—the student number matches the customer, and the invoice number matches the payment plan—so re-runs update the same records instead of duplicating them. ### How is GST on commission handled? It follows RTO Manager. A commission written as "25% + GST" adds GST to the split; "25% + No GST" doesn't. Qualy parses whatever the report says. ### I have two students with the same email. What happens? RTO Manager can carry the same email on more than one student. To keep them as separate people, Qualy gives the duplicate a unique variant address and tags the contact "Duplicate" with a note, so nothing is silently merged. Tidy the emails in RTO Manager when you can. ### A payment isn't updating in Qualy. Why? Two common reasons: the plan is already fully paid or cancelled in Qualy (those are left as-is), or the change simply hasn't been picked up yet and will land on the next scheduled run. If it persists, send it to us. ### Is this only for Australia? Yes.
