Each member carries merge fields for their name, Qualy number, phone, birthday, address and visa details, plus their tags, team and owner; and payment merge fields (amount due, number overdue, next due date, next payment and a pay link) you can build reminder automations on. Members are matched by email, so a correct email is essential. Qualy creates the audience and its merge fields for you on connect. ## Overview The Mailchimp integration keeps a Mailchimp **audience** in step with your Qualy customers, so your marketing lists stay current without exports. It's a **one-way** sync, from **Qualy to Mailchimp**. Qualy creates **one audience** for your account on connect, along with the **merge fields** it needs and a no-reply from-address derived from your settings. There's nothing to build in Mailchimp first. ## What reaches each member Every synced customer becomes an audience **member**, carrying: - **Their details** — name, Qualy number, phone, birthday and address - **Visa details** — issue date, expiry and country (handy for education segments) - **Tags, team and owner** — their Qualy tags, primary team name and owner, so you can segment on them - **VIP flag** — VIP customers are marked VIP in Mailchimp - **Payment reminders** — merge fields for the amount **due**, how many payments are **overdue**, the **next due date**, the **next payment** amount and a **pay link** ## Building on the payment fields The payment merge fields are what make this more than a mailing list. Trigger a Mailchimp **automation** on an approaching next due date or an overdue balance, and use the **pay-link** field so the email goes straight to checkout—automated, on-brand payment reminders driven by live Qualy data. Segment by **visa expiry** for renewal campaigns, by **tag or team** for targeted messaging, or by **overdue balance** for a gentle nudge. The fields are all there to filter on. ## Why a member might not sync ### The contact is inactive Inactive contacts are skipped by design. ### The email is missing or wrong Members are matched to Mailchimp by **email**. No email—or an email that doesn't match—means no member. ### The address country isn't a two-letter code Mailchimp expects an ISO two-letter country. If it's something else the **address is dropped**, though the member still syncs. ### You've hit your Mailchimp plan's contact limit Once you reach your plan's member cap—most common on the free plan—new members are skipped until you upgrade or make room. If Mailchimp reports the connection is no longer authorised, Qualy **disconnects** the integration rather than keep failing silently. Reconnect it from **Settings → Add-ons & integrations**. ## Frequently asked questions ### Does Mailchimp sync both ways? No—it's one-way, from Qualy to Mailchimp. Qualy keeps your Mailchimp audience current; changes you make in Mailchimp don't flow back to Qualy. ### What information reaches each member? Their name, Qualy number, phone, birthday and address; visa details (issue date, expiry, country); and their tags, team and owner. Payment merge fields carry the amount due, how many payments are overdue, the next due date, the next payment amount and a pay link—so you can drive reminder automations. VIP contacts are flagged as VIP in Mailchimp. ### Can I build payment reminder automations? Yes—that's the point of the payment merge fields. Trigger a Mailchimp automation on, say, an approaching next due date or an overdue balance, using the pay-link field so the email links straight to checkout. ### Which audience does it use? One audience per Qualy account, which Qualy creates for you on connect—complete with the merge fields it needs and a no-reply from-address derived from your settings. ### A contact isn't showing up in Mailchimp. Why? A few reasons: the contact is inactive (those are skipped); the email is missing or wrong (members are matched by email); the address country isn't a two-letter code (the address is dropped, though the member still syncs); or you've hit your Mailchimp plan's contact limit. On the free plan especially, once you reach the member cap new members are skipped. ### My Mailchimp connection dropped. What happened? If Mailchimp reports the authorisation is no longer valid, Qualy disconnects the integration rather than keep failing.
