# Connecting your tools (integrations)

## Quick summary

In Settings → Add-ons & integrations you can connect Qualy to your accounting (Xero, QuickBooks, Conta Azul) and your CRM/marketing (HubSpot, Mailchimp). Accounting integrations create invoices for your payments, sync splits as bills, and can mark invoices paid automatically. Two facts save most issues: integrations match records by the customer's email, and a locked accounting period (lock date) stops Qualy updating invoices in that period. HubSpot is a two-way customer sync; Mailchimp is one-way from Qualy.

## Overview

Qualy fits alongside the tools you already use. In **Settings → Add-ons & integrations** you can connect your **accounting** and your **CRM/marketing**, so you're not copying data by hand.

## Accounting: Xero, QuickBooks, Conta Azul

Connect your accounting to keep your books in step automatically. Qualy can:

- **Create invoices** in your accounting tool for your Qualy payments
- **Sync your payment splits as bills**
- **Mark invoices as paid automatically** when the payment is paid

You're in control of the detail: choose **when** payments sync (instantly, when fully paid, or never), whether they sync as invoices or bills, and how your items, accounts and tax codes map across.

**Conta Azul** is supported for Brazilian accounting; **Xero** and **QuickBooks** are widely used elsewhere. You connect whichever one you use.

### Two things that save almost every sync issue

### One organisation, matched by email

Qualy syncs with a **single accounting organisation**, and it lines records up by the customer's **email address**. Keep emails consistent on both sides and matching just works. (The same email rule applies to imports—so a tidy, lowercase email is the key everywhere.)

### Mind your lock date

If you've set a **lock date** (a closed accounting period), your accounting tool won't let Qualy **update or mark invoices paid** in that period.

If you marked something paid in Qualy and your accounting didn't update, check your **lock date** first—it's the most common reason. Qualy can't change anything your accounting tool has locked.

## CRM & marketing: HubSpot and Mailchimp

Keep your customer lists in step with the tools your team works in:

- **HubSpot** — a **two-way**, real-time sync of your customers, so changes flow both ways and you can reach your HubSpot contacts from Qualy.
- **Mailchimp** — a **one-way**, real-time sync from Qualy to Mailchimp, which also brings across **tags, owners, teams and payment information**, so your marketing lists stay current.

Prefer not to connect anything? You can always export your data as CSV from **Reports** and load it into any system instead.

## Frequently asked questions

### What can I connect Qualy to?

Your accounting—Xero, QuickBooks and Conta Azul—and your CRM/marketing—HubSpot and Mailchimp. You connect them in Settings → Add-ons & integrations.

### What does an accounting integration (Xero/QuickBooks) actually do?

It creates invoices in your accounting tool for your Qualy payments, syncs your payment splits as bills, and can automatically mark those invoices as paid. You control when payments sync (instantly, when fully paid, or never) and how items, accounts and tax codes are mapped.

### Can I connect more than one accounting organisation?

No—Qualy syncs with a single accounting organisation (for example, one Xero organisation). It isn't possible to split the sync across two. Choose the one you want Qualy to keep in step.

### How does Qualy match records with my accounting/CRM?

By the customer's email address. Keeping emails consistent and correct on both sides is what lets invoices, payments and contacts line up reliably.

### I marked something paid in Qualy but my accounting didn't update—why?

The most common cause is a lock date (a closed accounting period). If the invoice falls in a locked period, your accounting tool won't let Qualy adjust it or mark it paid. Check your lock date for that period.

### A split payment shows the invoice paid but the bill (commission) didn't sync. What do I do?

Split payments create both an invoice and a bill; occasionally one syncs and the other doesn't, usually down to a lock date or an email mismatch. Confirm the email matches and the period isn't locked; if it still won't reconcile, contact Qualy.

### What's the difference between the HubSpot and Mailchimp syncs?

HubSpot is a two-way, real-time sync of your customers (changes flow both ways). Mailchimp is a one-way, real-time sync from Qualy to Mailchimp, and it also syncs tags, owners, teams and payment information.

### Do I have to connect anything?

No—integrations are optional. You can also export your data as CSV from Reports and load it into any system.
