# The customer Summary and Wallet explained

## Quick summary

Open a customer to see their Summary, which includes the Wallet—a breakdown of what's upcoming, overdue, pending review and paid, by currency. The Wallet tab drills into Orders, Transactions, Payouts, Direct debit, Subscriptions and Bank accounts. Notes & activities shows the full history.

## Overview

The customer page is the single screen that answers "where does this customer stand?" It opens on the **Summary**, which features the **Wallet**, and breaks down into focused tabs.

## The Summary and Wallet

The **Wallet** summarises the customer's money in four buckets, by currency:

- **Upcoming** — payments not yet due
- **Overdue** — past their due date and unpaid
- **Pending review** — awaiting a manual check
- **Paid** — completed

Amounts are grouped by currency, so a customer paying in more than one currency shows a clear total for each. One currency can be fully paid while another still has a balance—read each currency's figures rather than expecting a single combined total.

**Reading "paid" correctly.** The **paid** figure counts payments that are *partly* paid as well as those paid in full, so a customer partway through a large plan can look mostly paid while money is still owed. The reliable signal is the **Overdue** and **Upcoming** buckets: if they show amounts, there's still money to collect. And because the totals are worked out when the page loads, a payment that just arrived may need a quick **reload** to show up—and a payment made outside Qualy only counts once it's been marked paid.

## Drilling in with Wallet tabs

The **Wallet** breaks down into:

### Orders

Everything the customer purchased, grouped by order.

### Payouts

Money paid out in relation to this customer.

### Transactions

Individual transactions—each charge, refund or transfer—with method and status.

### Direct debit

The customer's direct debit agreements (for example PayTo or BECS) and their status.

### Subscriptions

Any recurring payment arrangements for the customer.

### Bank accounts

Saved bank accounts and details used for direct debit.

## The other tabs

- **Profile** — name, contact details, addresses, IDs, related people and custom fields
- **Documents** — files and document requests
- **Forms** — forms sent to and completed by the customer
- **Tasks** — the to-do list for this customer
- **Feedback** — satisfaction responses
- **Notes & activities** — the full timeline of everything that's happened

Start every customer conversation on the Summary. The Wallet tells you instantly whether they're up to date, and the tabs let you dig into anything that needs attention.

## Frequently asked questions

### What is the customer Wallet?

It's the financial summary for one customer: how much is upcoming, overdue, pending review and paid, broken down by currency. It's the quickest way to see where a customer stands.

### What are the Wallet sub-tabs?

Orders, Payouts, Transactions, Direct debit, Subscriptions and Bank accounts. Each drills into that part of the customer's activity.

### Where do I see a customer's payment history?

The Transactions tab shows individual transactions; Notes & activities shows the broader timeline including documents, form submissions and notes.

### What other tabs does a customer have?

Beyond Wallet, a customer has Summary, Profile, Documents, Forms, Tasks and Feedback.

### Can I see a customer's bank accounts?

Yes, under the Wallet → Bank accounts tab, where their saved accounts and any direct debit details live.

### What does 'pending review' mean?

A payment or transaction that needs a manual check before it's treated as settled—for example a transaction awaiting approval.

### The Wallet looks fully paid, but I know money is still owed—why?

Read the buckets rather than the overall feel. The paid figure includes payments that are only partly paid, so a customer who's paid part of a large plan can look mostly green while the Overdue and Upcoming buckets still show what's left to collect. If those buckets show amounts, money is still owed. Refreshing the page also helps if a payment landed moments ago and the totals haven't caught up yet.

### A payment just came in but the Wallet hasn't updated—what do I do?

Give it a moment and reload the customer page. The Wallet totals are calculated when the page loads, so a very recent payment can take a refresh to appear. If a payment was made outside Qualy, remember it only counts once it's been marked paid.

### Why is the Wallet split by currency?

Each currency is totalled separately so the amounts stay accurate. If a customer pays in more than one currency, look at each currency's figures rather than expecting one combined total—one currency can be fully paid while another still has a balance.
