# Customer tasks, notes and activity

## Quick summary

Each customer has a Tasks tab (a to-do list, with subtasks, that can be assigned to your team or to the customer) and a Notes & activities timeline that records everything that's happened. Tasks can also be created automatically by workflows.

## Overview

Relationships are full of small follow-ups. Qualy keeps them on the customer with a **Tasks** tab and a **Notes & activities** timeline, so nothing is forgotten and everyone can see what's happened.

## Tasks

Open a customer's **Tasks** tab to see their to-do list—pending and in-progress items. For each task you can:

- Add **subtasks** to break it into steps
- **Assign** it: a task can be one *the customer* has to finish, or one *your team* has to finish

Framing a task as "the customer has to finish this" versus "we have to finish this" makes ownership obvious at a glance.

## Notes & activities

The **Notes & activities** timeline is the customer's history: documents uploaded, forms submitted, payments made and notes added. It's the fastest way to get up to speed before a call.

The timeline also records the **money activities** for that customer in plain language—charged the customer, refunded, sent a payout, sent an invoice, sent a reminder. You can open any of these activities to see its detailed **Traces**: every step behind it, who or what did it, timestamps, order and status (and you can copy the full timeline and traces). So the same place you read a customer's history is also a complete audit trail of what happened to their money.

## Automating tasks

You don't have to create every task by hand. **Workflows** can create and assign tasks automatically—for example, raising a task when a service reaches a particular step. See the workflows and automation guide.

## Seeing tasks across everyone

For a team-wide view, the global **Tasks** page lists tasks across all customers, so managers can see what's outstanding everywhere.

### What is the customer Tasks tab?

A to-do list for that customer—pending and in-progress items—so follow-ups never slip. Tasks can have subtasks and be assigned to a teammate or to the customer.

### Can a task be assigned to the customer?

Yes. A task can be something the customer has to finish or something your team has to finish, which makes it clear who's responsible.

### What are subtasks?

Smaller steps under a task, useful for breaking a bigger to-do into a checklist.

### Where do I see everything that's happened with a customer?

The Notes & activities timeline records the history—documents, form submissions, payments and notes—in one place. It also lists the money activities (charged, refunded, payout sent, invoice sent, reminder sent), and you can open any activity to see its detailed step-by-step traces and copy the full timeline.

### Can tasks be created automatically?

Yes. Workflows can create and assign tasks automatically—for example when a service step is reached. See the automation guide.
