Creating a Student Contact in Qualy

Every payment in Qualy needs to be associated with a student, which we call a contact. Here’s how to create one:

  1. Click “Create New Contact”: Locate and click the button to create a new student contact within the Qualy platform.

  2. Fill in the Fields: You’ll be presented with a form to fill in student information. > Note: Not all fields are mandatory by default. You can adjust required fields in the settings/preferences page.

  3. Customize Required Fields: Decide which fields you want to make mandatory for all students (e.g., first name, last name). This ensures you consistently collect crucial information.

  4. Add Custom Fields (Optional): You can add custom fields for specific information relevant to your Partnership. More details on this will be explained in a separate video.

  5. Add Notes and Tags: Add any relevant notes or tags to help organize and manage student information effectively. This can be useful for quick filtering and search functions.

  6. Student ID (Optional): If your school uses a specific enrollment number or student ID, you can enter it here. Otherwise, Qualy will automatically generate a unique ID for the student.

  7. Review the Student Information: Once you’ve added all necessary information, review the details before saving to ensure accuracy.

Managing Student Information

After creating the student, you’ll see a page with all their information. > Tip: Qualy allows you to add comments, manage the student’s data, and even manage documents related to the student (covered in a different video). Think of it as a simplified CRM specifically for your students. You can collaborate with colleagues on this page.

Frequently asked questions.

  • By default, Qualy doesn't require all fields. You can customize this in the settings/preferences page to make specific fields mandatory (e.g., first name, last name).

  • Qualy will automatically assign a unique number to the student, starting from 1, 2, 3, and so on.
