# Connecting an AI assistant

## Quick summary

You can connect the AI assistant you already use—Claude, ChatGPT, or any assistant that supports connectors—directly to your Qualy account. In your assistant's settings, add Qualy as a connector using the address https://api.qualyhq.com/v1/mcp, sign in with your usual Qualy email and password, and approve the connection. From then on you can ask things like "which students are overdue this month?" or "how much did we collect in AUD last quarter?" and the assistant looks it up in your account for you. The connection acts as you—it sees only what you can see and does only what you're allowed to do. It can never move money, and you can disconnect it at any time.

## Overview

If you use an AI assistant—**Claude**, **ChatGPT**, or another—you can now plug it straight into Qualy. Once connected, you don't open dashboards or export spreadsheets to answer everyday questions; you just ask:

- *"Which students have overdue payments this month?"*
- *"How much did we collect in AUD last quarter?"*
- *"How much commission do we still owe Sydney English College?"*
- *"Create a payment request for camila@example.com — semester 1 tuition, A$12,000."*

Your assistant looks the answer up in **your** Qualy account—your customers, your payments, your payouts—and replies in plain English. Behind the scenes this uses an open standard called **MCP** (Model Context Protocol): think of it as a universal power socket that lets any AI assistant plug into the tools you already use. One address works for all of them:

## How to connect

You'll do this once, and it takes about a minute. The wording varies slightly by assistant, but the shape is always the same: find its connectors screen, paste the Qualy address, sign in.

### Claude (web and desktop)

1. In **claude.ai** or the **Claude desktop app**, open **Settings → Connectors**.
2. Choose **Add custom connector** and paste the Qualy address above.
3. Your browser opens a Qualy sign-in. Enter your **usual Qualy email and password**, then the **verification code** we email you.
4. Review the confirmation screen and press **Connect**.

### ChatGPT

1. In **ChatGPT**, open **Settings → Connectors** (available on ChatGPT's business plans, and rolling out more widely).
2. Add a custom connector with the Qualy address above.
3. Sign in with your **Qualy email and password** and the emailed **verification code**, then approve.

### Other assistants and developer tools

Any assistant or tool that supports MCP uses the same address—Claude Code, Cursor, Windsurf and others. Some walk you through the same sign-in; a few ask for an API key instead. The step-by-step for those lives in our [developer docs](https://docs.qualyhq.com/docs/mcp-server).

That's it. The Qualy tools now appear in your assistant, and you can start asking questions in any chat.

No API keys, nothing to install, nothing to configure in Qualy first. If you can sign in to Qualy, you can connect your assistant.

## The connection acts as you

This is the most important thing to understand—and the reason it's safe:

- **It sees what you see.** Your assistant works with your organisation's data only, and only the parts your own Qualy permissions allow. A team member's assistant can't suddenly see admin-only screens.
- **It does what you're allowed to do.** The same permissions that govern you in the dashboard govern your assistant.
- **Everything is recorded.** Each thing the assistant looks up or does is logged against your user, just like your own activity.

The connection can **never move money**. A connected assistant cannot charge a card, issue a refund, or send a payout—those aren't available to it at all. The few actions it *can* take (creating a customer, drafting a payment request, cancelling one) are safe, reversible, and assistants ask you before doing them.

## What people use it for

### Chasing what's due

Ask for overdue payments, what's due this week, or which payment plans have stalled—then have the assistant draft the payment request or find the right customer to follow up with.

### Quick numbers, no spreadsheet

Monthly collections by currency, cash-flow trends, cancellations, a receivables forecast, revenue by service—Qualy calculates these directly, so the totals your assistant gives you are the real ones, not an AI guess from skimming pages.

### Partner commissions and payouts

Ask how much commission is owed, paid, or outstanding per partner; check the status of a payout; or see which partner invoices are still unpaid.

### Everyday look-ups

"Find Maria's payment plan", "What's the status of invoice 1042?", "Show me everything about camila@example.com"—faster than clicking through screens, especially on the go.

Assistants understand plain identifiers. You don't need internal IDs—an email like *camila@example.com* or a partner's name is enough, and if a name matches more than one record, the assistant will show you the options and ask which one you mean.

## Staying in control

You can disconnect at any time, in either of two ways:

- **In your assistant** — remove the Qualy connector from its settings.
- **In Qualy** — sign out of all sessions (your profile → security). This immediately disconnects every AI assistant, along with all your other logins.

Reconnecting later is the same one-minute sign-in.

Each teammate connects with their **own** login. Don't share a connection—permissions, history and accountability all work best (and stay accurate) when everyone's assistant is their own.

## Frequently asked questions

### What exactly am I connecting?

Your assistant connects to Qualy through an open standard called MCP (Model Context Protocol)—think of it as a universal power socket for AI assistants. Once plugged in, the assistant can use a curated set of Qualy "tools": looking up customers, listing payments, totalling collections, checking payouts and commissions, and a few safe actions like drafting a payment request.

### Which assistants work?

Any assistant that supports MCP connectors. Claude (web and desktop) works today with a simple sign-in; ChatGPT supports connectors on its business plans, with wider availability rolling out; and developer tools like Claude Code, Cursor and Windsurf connect too. They all use the same address.

### Do I need an API key or anything technical?

Usually not. Assistants with connector sign-in use the same email and password you use for Qualy (plus your usual verification code)—no keys to create, copy or store, and nothing to install. A few tools still ask for an API key instead; our developer docs cover those.

### Is it safe? What can the assistant see?

The connection acts as you. Your assistant sees only your organisation''s data, and only what your own Qualy permissions allow—no more. Every action is recorded, bank account numbers are always masked, and you can revoke the connection whenever you like.

### Can it move money?

No—by design. A connected assistant can never charge a card, issue a refund, or send a payout. The only "actions" it can take are safe ones like creating a customer or drafting a payment request for someone to pay through a secure Qualy link, and assistants ask you before doing those.

### What should I ask it?

Anything you'd normally dig through screens or spreadsheets for: "Which payments are overdue this month?", "How much did we collect in AUD last quarter?", "How much commission do we still owe our partners?", "Create a payment request for camila@example.com for semester 1 tuition". The assistant finds the records, runs the numbers, and shows its answer.

### How do I disconnect it?

Remove the connector in your assistant''s settings—or sign out of all sessions in Qualy, which instantly disconnects every AI assistant along with your other logins.

### Does it cost extra in Qualy?

No. The connection is included on every Qualy plan. Whether connectors are available in your assistant depends on the assistant''s own plan—Qualy doesn''t charge for it either way.

### Can my whole team use it?

Yes. Each person connects with their own Qualy login, and their assistant inherits exactly their permissions—an admin''s assistant sees admin things, a team member''s assistant sees what that team member sees.
