Some students like to pay with their card. Others prefer a bank transfer. Some use PayTo. A few? They still show up in person with a handwritten receipt or a pocket full of cash.

However they pay, Qualy makes sure you’re covered.

You choose the payment methods you want to accept. The student chooses the one that suits them best. From there, Qualy takes care of the rest—processing the payment, reconciling it with the student’s account, and emailing you the moment it clears.

A full toolkit of payment options

We support a wide range of payment methods out of the box, and we’re always adding more based on what schools and students actually use.

Here’s what you can enable:

And more:

  • “Paid at the school” (for in-person or agent payments)
  • “Other” (for payments made outside the system—like wire transfers or cash)

And you don’t have to allow them all. Some schools disable credit cards to reduce fees. Some agents prefer manual methods for certain countries. It’s completely configurable.

Virtual accounts: How we make reconciliation automatic

Bank transfers are great—until you don’t know who sent the money.

To fix this, we generate a virtual PayID or BSB/Account number for each payment. That means every student gets a unique code. If Jack from Jakarta pays via bank transfer, we’ll know it’s Jack—no spreadsheet-matching or inbox detective work required.

It just shows up. Labeled. Logged. Done.

In-person payments? Still counts.

In reality, not everything happens online.

Sometimes a student shows up with cash at the agent’s office. Or the school reception team accepts a direct deposit that didn’t go through the system. That’s normal—and we built for that.

With Qualy, your admin or agent can just select “Paid at the school” or “Other” and mark the payment manually. It still shows up in the timeline. It still gets reconciled. It still works.

Email alerts that matter (and don’t get ignored)

The moment a payment is received—no matter how it was made—we send you an email notification.

This isn’t one of those generic “You’ve got a new transaction” alerts either. You’ll see the student’s name, how they paid, the amount, the reference, and any notes. That way, you’re never in the dark.

Late-night payment? You’ll wake up to it.

Last-minute bank transfer on the due date? You’ll know before the student even messages you.

Payments without portals

One more thing: students don’t need a portal or password to use any of this.

We send them a secure link via SMS or email. When they click it, they see all their payment options, any discounts available, and their payment schedule. No logins. No downloads. No “forgot my password.”

They just tap, choose, and pay.

  • Yes. You can enable or disable methods globally or per student. For example, you might allow PayTo in Australia but not overseas card payments.
